Job Description

The Photo Studio Operations Coordinator will work in conjunction with the Manager of Photography to ensure that quality work is efficiently produced and will serve as the operational expert for the Creative Innovation Studio’s photography studio. This individual will be responsible for the day to day operation of the studio and the management of the facilities use.

Operational responsibilities will include: compiling monthly forecasts to ensure photography needs are adequately planned for; managing shot lists and assigning priority based on business need and urgency; communicating status and expectations with key stakeholders; overseeing the budget analysis and operational efficiency of the studio; and analyzing business trends and determining go forward strategy in the context of business strategy.

This individual will be responsible for developing effective and efficient workflows to ensure that a positive experience and productive environment are created for all teams, business partners and clients. This individual also is expected to foster a culture of continuous improvement backed by strong data analysis. In this role, the candidate will establish a strong working relationship with the Ecommerce Merchandizing, Planning, and Creative teams, as well as with internal and external suppliers for the coordination of product photography in our E-Commerce photo studio workflow.

Additionally, this individual will be responsible for creating and managing the production calendar to ensure all photography assets are provided in a timely manner to guarantee that the photography team can work seamlessly to shoot the required number of product photos and 360 views. Responsibilities will include building collaborative partnerships with suppliers and internal business partners, ensuring products are received and that an adequate backlog of products is properly labeled and prepped; as well as the ability to sell internal business partners and external clients on the photo studio’s value and capabilities.

Post production responsibilities include ensuring photo distribution to relevant DAM systems with metadata assignments, distribution to suppliers, as well as, packaging and coordinating return shipping of products. Additionally, this individual will be responsible for ensuring that all contractual obligations are met including: management of studio financials; timely processing of invoices and payments, accurate and reliable financial reporting, distribution and collection of applicable paperwork.

Key Responsibilities:

  • Work collaboratively with the Manager of the photo studio to ensure successful creation of product photography assets—both from a creative and operational perspective.

  • Manage and maintain studio shoot schedule while ensuring that minimum targets are met by photographers

  • Coordinate the shipping, receipt, labeling, preparation and return of products with internal business partners and external suppliers

  • Ensure all legal and contractual obligations are met – inclusive of waivers as well as licensing and distribution

  • Responsible for photo distribution, metadata assignments, and DAM uploads

  • Manage and reporting on studio financials, productivity and capacity

  • Ability to promote photo studio services, capabilities and facilities to internal and external business partners

  • Responsible for determining product priority and communication of priority, expectations and status to key business stakeholders

  • Development and enhancement of photo studio workflows and processes

  • Triage and resolve internal business partners and external suppliers inquires, concerns, and issues that may arise

Minimum Requirements/Qualifications:

  • Bachelor’s degree in marketing, operations , photography or other related discipline or equivalent work experience

  • Minimum 5 years related photo studio experience

  • Highly detail oriented with superior project management skills

  • Ability to perform under pressure and thrive in fast-paced environments

  • Strong relationship building skills and the ability to work with multiple team members across departments in a collaborative and professional way

  • Strong customer service focus and experience

  • Ability to prioritize multiple tasks and work with a sense of urgency to meet deadlines

  • Experience with Workfront, or similar, project management software and DAM (Digital Asset Management) tools
