Discover Impactful Work:

Reporting to the Site Leader, the Site Administrative Coordinator supports the Nashville location’s office and administrative needs and acts as a receptionist for all visitors, vendors, and employees. Your role is critical to the success of the site by enabling streamlined and efficient communications among the various colleagues while assuring a safe and organized office environment.

A day in the Life:

  • Performing reception duties at the site front desk, welcoming colleagues, customers, and vendors via phone, or email and in person visits

  • Assuring office supplies and equipment are in-stock, available, and in pre-determined, organized locations

  • Supporting site-based functions and employees with scheduling, logistics, and other administrative tasks such as team lunches, site events, or hosting large meetings.

  • Organizing site client/guest visits, scheduling and overseeing the details of meetings/interviews, booking accommodations, coordinating company events, ordering meals, managing projects, composing and distributing internal communications

  • Assist with the coordination of onboarding activities for new hires including ordering lunch and setting up or tearing down conference rooms.

  • May be required to perform other related duties as required and/or assigned.

  • We always strive for continuous improvement. A track record of identifying and applying ways to improve efficiency is a plus

Keys to Success:

Education & Experience

  • High school diploma or equivalent required.

  • Minimum of 3+ years hands on professional administrative experience

  • Experience in a Manufacturing setting, preferred

Knowledge, Skills, Abilities

  • Focused individual with attention to detail who can challenge the status quo

  • Ability to multitask and prioritize tasks and projects.

  • Energetic with strong communication skills, verbal and written

  • Excellent interpersonal skills; ability to interact effectively with all levels

  • Strong organizational skills

  • Detailed, high integrity. Understands and practices confidentiality

  • Able to work autonomously, with minimal direction

  • Self-starter with Strong attention to detail

  • Proficient in typing and good at spelling, punctuation, and grammar

  • Proficient in Microsoft Office Suite.

  • Ability to interpret and apply company policies and procedures.

  • Ability to work both independently and within a team environment.

  • Proficient in typing and data entry.
