We are looking for an Administrative Services Specialist for our site in Ecublens.

Your Responsibilities:

  • Work with Brno accounting department to ensure invoices are treated on time

  • Open, scan and distribute all invoices and documents to relevant departments and keep a virtual filing system in place

  • Work closely with the accounting department and the remote HR department by contacting suppliers when necessary and collecting additional information

  • Write all communications linked to the site in both French and English on Teams and by email

  • Translate documents and presentations when necessary

  • Provide general support to internal clients: invitation letters, hotel recommendation, taxi bookings etc.

  • Prepare meeting agendas and assist in the preparation of reports and presentations

  • Maintain the site personnel training program and publish related metrics

  • Visitor Management: Handle Badge and Site access system

  • Be the point of contact and liaise with cleaning company on daily needs

  • Manage company cars: arrange annual maintenance, open insurance cases bring cars to inspections

  • Communicate and follow up with the employees, the concierge and real estate agents for repairs or maintenance linked to the site such as the heating system, parking places, fire hydrants, etc.

  • Organise events for the site, acquire budget approval, contact different venues, handle guest list and catering

  • Handle site vending facilities and research new deals and suppliers

Your Qualifications:

  • 5+ years’ experience in an admin function

  • Proficiency in Microsoft Office

  • Proficiency in spoken and written English and French

  • Ability to interact with all levels of staff internally and externally

  • Strong customer service, interpersonal and communication skills

  • Driving licence
